From "Inviting" to "Creating" Events: Applications Open for "SETOUCHI Co-Creation Event Lab"! [Setouchi City, Okayama Prefecture]

Purpose and Background of the Project

Setouchi City, Okayama Prefecture, will launch the "SETOUCHI Co-Creation Event Lab" on July 9, Reiwa 8 (2026), as part of the Setouchi City Open Creation Public-Private Co-Creation Declaration initiative.

The "SETOUCHI Co-Creation Event Lab" is a system where the city provides support as a co-creation partner for events, competitions, festivals, etc., to be held within Setouchi City, regardless of the organizer's affiliation, including citizens, companies, organizations, students, and sole proprietors.

Unlike traditional "endorsements" or "subsidies," this initiative leverages the city's public relations capabilities, network, and coordination skills to support private sector challenges.

We are seeking attractive proposals that will attract people from both within and outside the city, leading to regional economic revitalization and an expansion of the visiting population.

Project Details

[Application Requirements]

- The event, competition, festival, etc., must be held within Setouchi City and widely recruit participants (companies, organizations, and individuals are welcome). - It is expected to attract 100 or more participants, and the organizer must be willing to make efforts to attract them. - The organizer must be able to report the number of participants and other details within one month after the event concludes. - The project's content must align with the city's policies and contribute to the development of municipal administration. - The event must not violate public order and morals or public welfare. - Sufficient facilities and measures for public health and disaster prevention must be in place. - The event must not include political activities such as acts related to the interests of specific political parties or other political organizations, or supporting specific candidates in public elections, nor religious activities, and must not create any misunderstanding that such activities are being conducted. - In the event of any trouble during the event, the organizer must be responsible for resolving it. - If venue space is rented, it must be restored to its original condition promptly after the event.

1 Public Relations Support

- Announcements on Setouchi City's SNS (X) and website

* The number of announcements will generally be one, and the city will decide based on the number of events held concurrently. - Announcements in "Kōhō Setouchi" (Setouchi City Newsletter)

* Applications must be submitted at least two months prior to the event date.

2 Cooperation with application for city endorsement and support in preparing the endorsement application form

3 Arrangement for the Mayor's attendance at the event and message delivery

- Arrangement for the Mayor's attendance at the event (the Deputy Mayor may attend as a representative).

* However, the Mayor may be unable to attend due to unavoidable circumstances such as official duties. - Sending a message from the Mayor to the event

4 Cooperation with application for the use of "Setto-chan" (illustration)

- Support in preparing the application form for using "Setto-chan" on event promotional materials.

* Promotional materials using "Setto-chan" require submission and confirmation before use.

5 Cooperation with applications for the use of city-related facilities (city hall north parking lot, Ushimado branch office parking lot), and support in preparing administrative property use permit applications for existing permitted spaces (usage fees for electricity, water, gas, telephone, etc., will be borne by the user).

* Please consult us regarding applications for locations other than those listed above. (Use is not guaranteed.) Please note that facilities cannot be used if there are prior bookings or if it conflicts with city projects.

6 Consultation on dispatching a police car to the event venue

* The organizer must provide on-site supervision and operational support.

About Setouchi City, Okayama Prefecture

Setouchi City is located in the southeastern part of Okayama Prefecture, adjacent to Okayama City, and is a town with a population of approximately 35,000. It is blessed with convenient transportation access, being just 21 minutes from Okayama Station via the JR Ako Line.

In ancient times, the area was rich in fertile soil along the Yoshii River and forests for fuel, leading to the flourishing production of Sue ware, and a culture of craftsmanship developed from early on.
