ActRecipe, Inc. (Headquarters: Minato-ku, Tokyo; CEO: Daisuke Ikegami; hereinafter "ActRecipe"), provider of the iPaaS "ActRecipe," announced that Sansan, Inc. (Headquarters: Shibuya-ku, Tokyo; President and CEO: Chikahiro Terada; hereinafter "Sansan"), a company providing AX services that transform how people work, has adopted ActRecipe to automate and streamline its accounting operations and strengthen internal controls.
Background of ActRecipe Adoption
While digital transformation (DX) in back-office operations has advanced for many companies in recent years, the optimization of individual SaaS and internal systems has created a new challenge: data integration between systems. Although Sansan, which provides AX services, had achieved simple system integration using AI, GAS (Google Apps Script), and Slack API, high hurdles remained in building API integration between systems requiring high levels of specialized knowledge, such as financial accounting systems, which demand precise handling of SaaS-specific specifications and structured data.
Previously, Sansan attempted to introduce other data integration services but failed to achieve stable operations due to system errors. Additionally, there was concern that generic integration tools often operate under a stance of "implementing requested requirements as they are" and lack a deep understanding of complex accounting operations. In contrast, "ActRecipe" boasts strong consulting capabilities and a deep understanding of both business and technical aspects. Beyond simple data automation, it was chosen for offering proposals that exceeded expectations for solving fundamental operational challenges based on profound expertise in the finance and accounting field.
Three 'Recipes' (Integration Functions) Implemented
- Department Code Integration Automatically synchronizes department codes from the accounting system to other systems via API. Previously, manual (CSV) updates were required for organizational changes, involving 10-20 changes in normal months and up to approximately 100 at the start of the new fiscal year (June), which is now completely unnecessary.
- Partner Master Integration Automatically registers partner codes managed in Google Sheets to other systems on a 5-minute schedule. This eliminates the conventional double-entry requirement across multiple systems and contributes to reducing communication burdens among members in remote work environments.
- Journal Entry Integration (Scheduled for launch) Building a mechanism to automatically integrate generated journal entry data into the accounting system via API and automatically back-post the generated voucher numbers. This is expected to significantly streamline the accounting process and manual voucher input—which involve 1,000-1,200 invoice processes (2,000-2,500 journal entries) per month and previously took 5-6 people a day and a half to complete.
Benefits of ActRecipe Adoption
### Significant Improvement in Operational Efficiency - Eliminated monthly maintenance work for department codes. - Resolved double-entry work for partner master data, reducing burdens during large-scale data updates (e.g., beginning of the fiscal year). - Expected to reduce the time required for accounting processes by approximately one day through automated journal entry integration.
### Improvement in Operational Quality and Prevention of Errors - Eliminated the need for simultaneous entry into multiple systems, completely excluding errors or input mistakes due to data inconsistency. - Real-time updates every 5 minutes ensure that the latest information is always maintained even when multiple people are working simultaneously. - By eliminating manual transcription and data preparation, resources are shifted to strengthening inspection systems and confirming monthly numerical values, realizing high-precision output.
Comments from Shingo Kuroda, General Manager, Finance and Accounting Department, Corporate Division, Sansan, Inc.
"As a company providing AX services that transform work styles, we have been actively engaged in the DX and efficiency of our own back office. While we felt some progress in our in-house integration utilizing AI and GAS, we faced challenges in API integration between highly specialized systems such as financial accounting systems, specifically in dealing with data structuring and SaaS-specific specifications.
'ActRecipe' went beyond being a mere automation tool, providing optimal proposals that exceeded our expectations by deeply understanding both our complex accounting tasks and technical specifications. After adoption, the burden of monthly maintenance and double entry of masters was eliminated, allowing us to focus our resources on essential core operations such as ensuring accurate monthly financial closing. With the ongoing implementation of journal entry integration, I am confident that we will achieve even greater operational efficiency."
