With an organization of approximately 500 employees, JR Tokai Consultants processes around 400 invoices and payment applications per month.

Approximately 60% of the invoices received monthly arrive on paper. Previously, this involved a double workload of converting each to PDF, attaching it to the system, creating a ledger entry, and then stamping and storing the original paper document. Furthermore, the existing system was not compliant with the Digital Book Preservation Act, making paperless operations difficult.

The introduction of Bakuraku enables operations compliant with the Digital Book Preservation Act, eliminating the need to store original paper documents. The entire flow from invoice reception to payment application and approval has been digitized, achieving paperless operations. Additionally, by visualizing the status of applications and approvals in real-time within the system, an environment has been created for smoother progress management and handling of rejections.

2. Promoting automation of accounting operations with AI-OCR for automatic invoice data reading and application creation functions.

In the previous system environment, it was not possible to copy and create ledger entries from previous months' slips, so staff had to create slips manually or by importing CSV data each month. Significant time was spent confirming and entering invoice information and creating payment applications, which was a challenge for accelerating monthly closing.

With the introduction of Bakuraku, automatic reading of invoice information using high-precision AI-OCR has become possible. Furthermore, the AI's function to automatically propose ledger entry content by referencing past application details significantly reduces the burden of manual input. This promotes increased speed and automation in the process from invoice processing, where errors are not permissible, to payment applications.

Through such automation of accounting operations, the accounting department has been streamlined from 4 to 3 members, while the period required for monthly closing has been shortened by one business day, from 5 business days to 4 business days.
