Scalehack Inc. (Headquarters: Shibuya-ku, Tokyo; CEO: Takehiro Kurata, hereinafter "Scalehack") provided its exhibition marketing support service "EXPO hack" to HRbase Inc. (Headquarters: Osaka-shi, Osaka; Representative Director: Hiromichi Mita, hereinafter "HRbase"), which offers the labor management AI agent "HRbase".
While HRbase had been consistently acquiring leads primarily through online seminars, they were considering utilizing the exhibition channel for further business growth. However, they lacked sufficient in-house expertise in exhibition operations and faced the challenge of not knowing "what kind of operations lead to results." Furthermore, as they were in a business expansion phase, their human resources available for exhibition operations were limited, necessitating the establishment of a stable operational structure.
Leveraging sales knowledge cultivated from supporting over 500 companies, Scalehack designed an on-site flow encompassing "attraction, lead acquisition, hearing, product explanation, and referral." Experienced professionals with a track record in numerous exhibitions managed the on-site operations, conducting thorough interviews with each visitor and providing customized responses based on their attributes and objectives. The aim was to maximize lead acquisition and referrals. Additionally, Scalehack proposed the use of flipboards and other tools during the preparation phase to enhance on-site attraction, working closely with the HRbase team. On the day of the event, improvements were made daily, connecting on-site insights to the next day, thereby enhancing operational quality.
As a result, even in an environment where overall exhibition visitor numbers decreased by 30-40% compared to the previous event, the on-site sales execution enabled the booth to exceed its target KPIs by over 100%. This not only led to lead acquisition but also to the documentation of exhibition operation know-how and the establishment of an improvement cycle, creating a foundation for replicable exhibition operations that can be utilized in future events.
This article details the challenges HRbase faced, the background of their selection of Scalehack, and the comprehensive efforts made to achieve results through continuous improvements on-site at the exhibition.

Interview with HRbase Inc. (Excerpt)
Evaluation and Feedback on the Support
Our honest feeling is that we are glad we asked for your help. What was particularly impressive was how the assigned person continuously functioned as the core leader of booth operations throughout the three days. As the exhibition progressed, our team's physical and mental stamina tends to wane, but they continued to actively engage visitors, which also motivated our team members to remain proactive.
The feeling of "being able to work harder because you are here with us" may not be easily quantifiable, but it undoubtedly contributed to the results.
There are two points that we feel were only possible because it was Scalehack:
First, the proposal to use flipboards for attraction. We received this suggestion during the preparatory meetings, and by preparing and implementing it by the event day, even team members who were unsure what to say could use it as a hook to start conversations, and it also helped to stop visitors. We were truly grateful for the timely suggestions from the preparation stage.
Second, the daily improvements made. We worked together to implement improvements based on on-site insights, changing our attraction strategies and booth flow for the next day, and we could feel the accuracy increasing each day – on day 1, day 2, and day 3. It was the first exhibition where we felt a sense of "this is the right way to do it."
In terms of results, we achieved over 100% of our target for lead numbers. Despite a 30-40% decrease in visitor numbers compared to the previous event, we were able to achieve substantial results as a booth. Being able to properly manage an exhibition with external support, which would have been impossible for our internal team alone, was a significant step forward in terms of resources.
Even more significant was the clearing of the ambiguity of "not knowing the right way." Furthermore, an unexpected outcome was the boost in morale among our team members. By having experienced individuals actively engage, our team members also approached the task positively, maintaining team momentum until the end.
