SmartHR, Inc. (Headquarters: Minato-ku, Tokyo; CEO: Masato Serizawa) announced that it will launch the "AI Skill Definition Reader" feature in its "Skills, Qualifications, and Training" module of the cloud HR and labor management software "SmartHR" in early July. This new feature allows companies to upload their existing skill definition documents*, which AI will then analyze to assist in creating the initial setup data required for skill management.
This feature aims to reduce the manual burden of converting and formatting data from definition documents managed in spreadsheets for system registration, and to expedite the initial setup process.
*Documents summarizing the content of skills required for business operations and the criteria for their levels.
AI Assists in Rapid Skill Management Implementation
In recent years, activities to visualize employee skills and leverage them for management and organizational operations have accelerated, from the perspectives of human resource development, performance evaluation, and appropriate personnel allocation. SmartHR's "Skills, Qualifications, and Training" feature has provided an environment that streamlines the collection of data on skills, qualifications, and training, manages expiration dates and certifications, and enables data utilization in talent management.
However, a significant barrier to starting full-scale skill management has been the substantial effort required to prepare and register initial setup data, such as defining skills, establishing hierarchical structures, and setting skill levels.
In response to these challenges, the "AI Skill Definition Reader" feature addresses this by having AI read skill definition documents that companies already manage in spreadsheets and other formats, automatically generating candidate initial setup data that conforms to the system's format, thereby enabling the rapid implementation of skill management.
Features of the "AI Skill Definition Reader" Function
The "AI Skill Definition Reader" feature is available within the "Skills, Qualifications, and Training" module included in SmartHR's "HR Strategy Plan," "HR & Labor Essentials Plan," and "Talent Management Plan."
AI Automatically Generates Initial Setup Data Candidates from Skill Definition Files
AI analyzes the content of skill definition documents managed by companies in spreadsheets and other formats, automatically generating a large volume of skill item data to assist with initial setup. The AI reads the hierarchical structure of skills expressed through cell merging, as well as descriptions and definitions of skill levels (stages) managed across different sheets, and converts them into a format ready for immediate registration.
Ensures Data Quality Through an Operational Flow Based on Administrator Confirmation and Modification
Candidates generated by the AI can be reviewed by administrators, modified, added, or deleted as necessary, and then approved for registration as official skill item data.
By incorporating a review process rather than simply accepting the AI's suggestions, it is easier to make adjustments according to each company's operational requirements and standards.
*Extraction accuracy and the amount of modification required will vary depending on the format and content of the skill definition document.
