Osaka Police Hospital introduced Beacapp Here Hospital as one of its in-hospital DX foundations accompanying its relocation to a new hospital building. By visualizing the real-time location of medical equipment, the burden of searching for medical equipment, which previously required searching throughout the hospital, has been significantly reduced. As a result, the efficiency of medical equipment management has been improved, the value of location information utilization has permeated the hospital, and it has contributed to the promotion of in-hospital DX.

Amidst staff shortages of doctors and nurses and the severe financial conditions of hospitals, improving operational efficiency in medical settings is an urgent issue. Furthermore, with the increase in the number of patients visiting medical institutions due to aging, medical sites are required to provide high-quality medical services with limited personnel while also shortening consultation times per patient. Therefore, reducing the burden on medical professionals and improving operational efficiency are common challenges for many medical institutions.

Osaka Police Hospital is working on operational improvements using digital technology to provide sustainable medical care while serving a large number of patients. With a bed occupancy rate exceeding 95% in fiscal year 2025, the hospital has distributed iPhones to all staff members to create a common operational foundation, preventing fragmentation of work and enabling rapid response to improvement suggestions from the field.

Beacapp Here Hospital was evaluated for its ability to visualize location information across the entire hospital, spanning multiple wards and floors, on a floor-by-floor basis by using iPhones distributed to staff and beacons, and was decided to be introduced as one of the in-hospital DX foundations.

Usage Status: Utilization in Medical Equipment Management by the Clinical Engineering Department

Beacapp Here Hospital, introduced as one of the in-hospital DX foundations, is currently being used by the Clinical Engineering Department to grasp the location of medical equipment.

In the Clinical Engineering Department, beacons are attached to approximately 60 medical devices, primarily those that are frequently moved and limited in number, such as ventilators, artificial heart-lung machines, and pacemakers. The system allows iPhones of staff members present in the hospital to receive radio waves from the beacons installed on the medical equipment, enabling real-time tracking of their location. Receivers are also installed in the ME equipment lending and return rooms to manage medical equipment stored within these rooms.

When maintenance, lending, or emergency response requests for medical equipment arise, the location of the relevant medical equipment is first confirmed using Beacapp Here Hospital, and staff proceed directly to the location of the medical equipment.

Effects of Medical Equipment Management: Reduced Search Time from Up to 4 Hours to Under 1 Hour

Before the introduction of Beacapp Here Hospital, if a necessary piece of medical equipment could not be found, its location had to be confirmed by checking electronic medical record histories, inquiring with various departments, and interviewing staff on-site. Since many devices were moved between wards, it sometimes took several hours to search for them, which interfered with their primary duties.

After the introduction, the time spent searching has been significantly reduced by directly proceeding to the location after confirming the medical equipment's whereabouts. In most cases, the time required to secure it is now only the time spent moving within the hospital. As a result, the time to search for a single piece of medical equipment has been successfully reduced from 3-4 hours to under 1 hour.

As a specific improvement, by being able to know the room where the medical equipment is located in advance, the search area can be narrowed down even if it is stored on shelves or in drawers, allowing for efficient retrieval. Furthermore, it has become easier to grasp usage status based on location information of medical equipment, enabling smoother determination of which equipment is available for next use.

There is no longer a need to search repeatedly within the hospital for necessary medical equipment, leading to an environment where staff can concentrate on their primary duties with peace of mind.

Impact on In-Hospital DX: Value of Location Information Permeates, Leading to New Ideas

Triggered by the initiative to manage medical equipment with Beacapp Here Hospital, the utilization of location information has begun to permeate the field, leading to ideas from nurses and other staff such as, "Could we do this with beacons?"

These efforts have been recognized within the hospital, receiving the Best Idea Award in the Practical DX Division at "OIM INNOVATIVE IDEATHON 2025." Furthermore, as the utilization of location information has become more familiar, the number of consultations from the field to the Medical Information Department has increased, leading to a change in awareness towards in-hospital DX.
