Background of Implementation: The situation of "not knowing who is in the office" hinders initial response during disasters and daily operations
In recent years, with growing interest in preparedness for natural disaster risks and BCP (Business Continuity Planning), companies are required to quickly grasp the situation and take initial actions during disasters. On the other hand, with the spread of diverse work styles such as hybrid work and free addressing, it has become difficult to know "who is in the office when something happens" and "where they are in the office," which is one of the factors hindering rapid situation assessment and initial response.

Disasters can occur at any time, including on holidays or at night. At such times, they were considering introducing a system to establish a framework for confirming people in the office from a distance and taking initial actions to ensure their safety.
Furthermore, finding people also posed a challenge in daily operations. In the company, where floors are generally designated for use by each department, it was difficult to know if employees from other departments were in the office, leading to the effort of searching across floors. Additionally, in a free address environment, it was difficult to associate employee faces with their names, and there were situations where colleagues had to be asked to find someone they wanted to speak with, which increased the hurdle for communication.
To solve these issues, they previously attempted to operate an in-house system using two-dimensional barcodes, but because the operation depended on employee registration and updates, the information did not keep pace with people's movements, and it did not lead to sufficient utilization. Against this backdrop, Beacapp Here was introduced as a system that can automatically acquire location information without human intervention.
Utilization Status: Establishing a system to grasp the overall situation of people in the head office by differentiating visualization methods
Suidoki Kiko utilizes smartphones lent to employees to grasp their location with Beacapp Here. By simply carrying their smartphones, location information is automatically updated, creating an environment where attendance status and location within the office can be confirmed without relying on manual operation by employees.
Additionally, for Suiki Technos, a group company working within the same head office, not all employees are lent smartphones. Therefore, for these employees, a system of carrying beacons is adopted. Furthermore, for employees who do not usually come to the head office and are not lent smartphones, as well as for visitors, loaner beacons are distributed, establishing a system to comprehensively grasp everyone present in the head office.
During the implementation, privacy concerns regarding location information acquisition were carefully addressed by explaining the service's mechanisms, scope of acquisition, and privacy considerations. For internal use, Q&A style materials were created, and information such as in what situations the service can be used and where beacons are installed was shared to create an environment where employees can use it with peace of mind.

Disaster Preparedness Verification: Confirmation of effectiveness in grasping evacuation status and initial response during evacuation drills
After the introduction of Beacapp Here, a verification was conducted during an evacuation drill for the entire head office to confirm its effectiveness. In the drill, beacons were installed at the evacuation site, and it was confirmed whether evacuees were detected without issues.
As a result, it was confirmed that employees who had arrived at the evacuation site were identified, and it was also confirmed that employees who had previously notified that they could not participate in the drill were continuously detected within the office. By comparing the detection information within the office with the detection results at the evacuation site, it was confirmed that it serves as a clue for grasping the evacuation status and identifying employees who may be left behind.
