Yanmar Energy Systems is responsible for the entire energy systems business within the Yanmar Group, developing, manufacturing, selling, and providing maintenance services for air conditioning systems, power generation systems, and more. This time, the company has newly built a dedicated BtoB EC site for service parts, "ENEFF-Y," aiming to centralize service parts ordering operations previously handled at branch offices nationwide to its headquarters. This initiative seeks to strengthen governance, standardize service levels, improve operational efficiency, and establish a new customer ordering channel.

Previously, many interactions via fax and email were required to understand customer requests. For example, customers would send quotation or order requests via fax or email, including images marked on part catalog diagrams. Sales staff would then check price information from core systems and reply by email, followed by manual order processing—creating time-consuming, analog workflows for both customers and staff.

With this new system, existing parts catalog sites, customer management systems, and core systems have been integrated, automating quotation creation and other ordering processes. As a result, sales staff can now focus on core tasks requiring human input, while customers can check prices and inventory directly on the site.

Rather than managing the product master within the EC system, the master data is retained in the core system, with ecbeing serving solely as a hub to integrate multiple external systems including the core system, customer management system, and parts catalog site. Integration with the core system enables automatic control of customer-specific pricing. Additionally, order information that previously required manual input is now automatically synchronized with the core system.

2 Add Service Parts to Cart Directly from Diagrams on External Parts Catalog Site

Service Parts Purchasing Flow via EDI Parts Catalog System

To manage tens of thousands of parts, the existing EDI parts catalog site has been directly integrated with the EC site. When customers select parts and quantities from diagrams on the EDI parts catalog site, the part numbers and quantities are synchronized and automatically added to the shopping cart on the EC site. This represents a unique customization enabling cart additions across external sites.

3 Complete Quotation and Ordering Processes on the Site

Except for certain complex products, most items allow customers to complete the entire process—from quotation requests and responses to delivery date confirmation and ordering—directly on the site. Integration with multiple systems enables real-time access to product information such as pricing and lead times, reducing the need for back-and-forth email communication. This also shortens waiting times for responses, improving convenience and customer satisfaction.
