Cybozu, Inc. has published a case study on the Saitama Prefectural Government’s implementation of 'kintone' on its product website.
The Saitama Prefectural Government is committed to promoting digital transformation (DX) across its entire organization, based on the 'Saitama Prefectural DX Promotion Plan.' As part of this initiative, they adopted kintone for inter-departmental information sharing, improving operational efficiency for all 13,000 employees.
Background of kintone Implementation
Saitama aims to realize a digital society. They established three steps: shifting from analog to digital environments (Step 1), task transformation (TX) using no-code tools and generative AI (Step 2), and final digital transformation (DX) (Step 3).
While advancing from analog to digital, the government faced a challenge: the lack of a shared system for cross-departmental information. For instance, obtaining confirmations across multiple departments was time-consuming via email. kintone was adopted because it supports multi-departmental approval flows and allows for appropriate access rights for viewing and editing.
Streamlining Inquiry and Response Operations
Currently, all 13,000 employees have kintone licenses, and the number of apps has grown to over 200. These are widely used for inquiry and response operations.
For example, an app for collecting information on new business proposals for the next fiscal year allows planning departments to gather info from various divisions. Previously, information collected from each division had to be checked by both the planning and finance departments, which was labor-intensive via email. Using kintone apps, both departments can now view the same information seamlessly.
Future Outlook
Moving toward the full-scale third step (DX), the government aims to consolidate cross-departmental inquiry and response tasks into kintone to further increase efficiency.
By accumulating information within kintone, the government also intends to facilitate data-driven policy planning, raise awareness of data effectiveness within the organization, and ensure all staff move forward as one team in their DX journey.
