Challenges in Recruitment Operations Handled by One Person, from Document Screening to Hiring Procedures
Toyota Technical Development operates two businesses: a measurement simulation business that develops tools necessary for evaluating vehicle parts, and an intellectual property business responsible for patent protection of new technologies within the Toyota Group. For their career recruitment operations, one person is responsible for everything from document screening to post-hire follow-up for 25-30 hires annually.
In this context, the company faced two major challenges.
The first was the personalization of screening criteria in document screening. The judgment criteria were based solely on the requirements definition document created by the field, and screening proceeded with one person without a full understanding of the points emphasized by the field.
The second was the chronic strain on operational workload. In addition to screening approximately 800 documents annually, the individual was also concurrently handling candidate follow-up and irregular tasks, leaving no room to work on higher-level tasks such as refining recruitment requirements.
Achieving Common Criteria with the Field and Reducing Workload through AI-Based Initial Document Screening Evaluation
In response to these challenges, "JAPAN AI HR" was implemented to build a workflow of AI-based initial evaluation based on screening criteria and sharing the results with the field, thereby working towards standardizing screening criteria and reducing workload.
Document Screening: Standardization of Evaluation Criteria and Workload Reduction through Weighting Function
For the implementation, positions were registered, and evaluation criteria, including weighting, were set. During this setup process, meetings were held with the field to discuss screening criteria.
After setting the criteria, an initial AI-based evaluation was conducted based on the candidates' resumes and curriculum vitae. This allowed for more efficient screening based on the review of each evaluation item, significantly reducing the workload of reviewing 800 documents annually by one person.
Furthermore, by sharing the evaluation results from JAPAN AI HR with the field, discussions could be held with a basis while looking at the same initial evaluation, leading to a mutual understanding of the points the field emphasizes in screening.

Searches and analyzes candidate information from websites and other sources. It is used to confirm consistency with information obtained during the selection process and to identify potential hiring risks in advance.
