Musashino University has transitioned its ICT help desk chatbot from a Microsoft Azure-based system to one powered by NotebookLM to improve the convenience of the student ICT environment and accelerate inquiry responses.

The new chatbot generates responses based on official manuals and internal documents of the "MUSIC Help Desk," achieving more accurate and consistent guidance than before. This allows students to access necessary information quickly, reduces hallucinations, and provides highly reliable information.

Moving forward, the university plans to leverage this functionality to expand services into areas such as student course registration, campus life, and administrative procedures for faculty and staff, aiming for further improvements in convenience.

Background: The university opened the MUSIC Help Desk in 2019 and became the first university in Japan to introduce a generative AI chatbot in 2023. However, operational maintenance was challenging. By upgrading to NotebookLM, the university addresses these challenges and aims to realize a "learning concierge" in the future.
